Off-market outreach fails when the broker cannot describe what fits. An acquisition search that starts with phone calls and no buyer box wastes owner goodwill and buries the team in mismatches. Write the box first: asset type, geography, size, price range, occupancy needs, return criteria, and who can decide. Swartz Co Commercial Real Estate supports buyers and sellers through acquisitions and dispositions across Georgia.
Off-market does not mean unfocused. It means disciplined contact against a written target.
Build the buyer box before outreach
Name the product: flex, warehouse, retail, office, or land. Set submarkets you will take and submarkets you will not. Define minimum and maximum size, clear height if relevant, and dock needs. Write a price or cap rate band that matches how you actually approve deals, not an aspirational number that dies in committee.
State occupancy preference: vacant for repositioning, partial credit tenant, or stabilized. If your lenders or partners need a minimum remaining term, put that in the box so owners are not contacted about assets you will never clear.
Decision authority and timing
List who signs the letter of intent and who only advises. Off-market sellers expect a clean process. A search that pauses for three unexplained weeks after a first tour rarely gets the second look. Align internal timing before we dial owners.
If you are still choosing between lease and purchase paths, use the acquisition path quiz before outreach begins.
Keep a kill list beside the want list
Write disqualifiers with the same care as targets: floodplain limits, clear height minimums you will not break, truck court depths that do not work, or cities your partners rejected. A kill list stops emotional tours of assets that were never going to clear committee. It also protects owner relationships because we are not requesting tours on buildings we already know fail the box.
Revisit the box monthly during an active search. Rates, inventory, and your own capital stack change. An outdated box creates false urgency on the wrong calls.
How brokers use the box in Georgia
With a clear box, outreach can target owners who match size, location, and situation. Without it, every conversation becomes a fishing expedition. We also compare on-market current listings against the same criteria so you see the full field, not only private calls.
Valuation context still matters when an off-market price arrives. Property valuation consultation helps separate a fair private number from an asking price that only works on a marketing flyer.
Keep legal and diligence in their lanes
Brokerage organizes the search and the negotiation path. Legal, tax, environmental, survey, and lending work stay with the right professionals. The buyer box should note known constraints such as environmental sensitivity or required dock counts so diligence later does not contradict the search brief.
